Working With Projects

How do I create a project?

1. Click the "Home" link on the left hand side of the screen. Then click Create->New Project. See below.

2. Fill in the name of your project, and any other information you wish. See below.

  • Target date is the date the project is due
  • Project description is some text that describes the project
  • Template: Select from Gallery allows you to base the project on an existing project template.
  • Color lets you give the project a color palette
  • Privacy lets you decide whether the project will have simple or granular privacy control.
  • Invite People lets you add people to the project. These people will receive an email, and will see the project when they log into their own Manymoon account.
  • Project tags lets you add tags to the project that classify it in some way.

Seeing a List of Your Projects

The project list on the left hand side of the screen only shows up to ten projects. To see your full project list, click the white "Projects" link at the top of the left hand side list.

When you're viewing your full projects list, you can reorder the projects by dragging. The top ten projects in the full list will show up in the left hand side list.

What can I do with a Project?

 A Project is an objective you need to achieve. By default, your projects are private and can only be viewed by you. Projects can also include tasks and milestones to help you better organize them. You can invite people to a Project and they can help you achieve it by working on tasks. Here are some examples of Projects:

  • Manage weekly meetings by assigning action items and tracking them towards completion of the project.
  • Prepare for a presentation and assign tasks to people who need to provide you with information. Create one task for yourself to create the presentation and another for a co-worker to attend the dry-run.
  • Track a sales opportunity by creating a task to setup the initial sales meeting, a task for the customer to provide their requirements and a task for you to provide a proposal.
  • Installation at a customer site by creating a project for your team and the customer. From here you can track checklists, installation date and setup milestones.

How can I organize a Project?
With Manymoon you can organize a project using Milestones. With this feature you can break up a project into milestones and group tasks into each milestones. If you created the project, you can create milestones and group tasks into them. As a project member (not creator) you can view milestones. To access milestones, go to the Project Home Page and click on the Project Milestones tab.

What else can I do with milestones?
If you are a project administrator, you can also reorder milestones in any order you like. Just drag and drop them in the order you would like to complete them. You can only reorder milestones when you are viewing all of them (not just 'Upcoming' or 'Past').

You can also apply a milestone's due date to all tasks underneath it. Just edit the milestone, check the "Set tasks to this date" box next to the milestone date, click Update, and all tasks in that milestone will have their date changed!

Does Manymoon support dependencies?
You can create loose, date-based dependencies in Manymoon by using the milestone drag and drop feature in conjunction with the ability to set a milestone date to all tasks underneath it. Please click here for more information.

How do I invite members to a Project?
From your Projects list, just click "Members" under the appropriate project name. You can also go to the Project Home Page you're working on, select the "Members" tab, and click "Invite to Project".

How do I remove someone from a Project?
Only the project creator or a project admin can remove someone from a project. This is done from the Members tab, using the list view.

How do I leave a Project?
You can leave any projects you have been invited to. Just go to Home > Projects and you will see a list of the projects that you are a member of. Just click on "Leave Project" and you will immediately be removed from the project. To re-join the project, you will need a project member to invite you. You cannot leave projects that you created.

How do I delete a Project?
With Manymoon you can archive a project instead of deleting it. Archiving a project basically hides the project from your My Projects view and Bulletin. To archive a project, do the following:

  • Click on the project name. You will now see the Project Home Page.
  • To the right of the project name, click on "Archive".
  • The project is now archived.

To access archived projects, do the following:

  • Go to your Projects list. By default, Manymoon displays your Current projects. So you will not see your archived projects.
  • From the drop-down (in the upper right-hand corner) select 'Archived'.
  • You will now see a list of your archived projects. Click the appropriate one and you will be taken to the project home page.

Do you support project templates?
You can find details in the Templates section.

How can I check the status of a Project?
Click the name of the Project to go to the Project Home Page. On this page you can click the Activity tab which shows all work activity for the Project.

What are some examples of projects?
A project can be any project for yourself and/or a group of people you work with. Some examples include:

  • Market Launch
  • Study Group for Class
  • Sales Opportunity for Customer
  • Product Design
  • Product Release
  • Develop Press Release
  • Plan Company Off-Site Meeting
  • Quarterly Team Meeting
  • Store Opening
  • HR Policy Revisions
  • Setup New Office

Can I change the color of a project?
Yes, you can change the background and border color for each project. Manymoon provides you with 10 pre-created colors to pick from. There are two ways to change the color of a project:

  • When creating a project select the color from the drop-down on the right hand side of the screen.  Click 'Save' to create the project with this color.
  • For an existing project, go to the project home page. Click '[Edit]', select the color from the drop-down on the right hand side of the screen.  Click 'Save' to create the project with this color.

All project members will now see this new color when accessing the project page.

How do I add a picture to a Project?

    • When creating the project, click the "Choose File" link under Select Project Picture

For an existing project, go to the project, click Edit, click the "Choose File" link under Select Project Picture

Are my projects private?

Yes, once you create a project you decide who to invite to it. Your project is never publicly available (that is, people must always be invited to the project). Project members can view all project information and invite anyone to the project. As project administrator you can add and remove anyone from the project.

Are additional project privacy settings available?
Yes! When you create a project, set the Privacy drop-down from "Full Access" to "Restricted Access". This will provide you with additional administrative features and privacy controls over the project. For example, you can restrict project members from inviting anyone else to this project. You can also limit which project information each project member can view. Specifically, they will only be able to view specific information shared with them (e.g., a task assigned to them) and not all other project information (e.g., a task assigned to someone else). Here are some examples of how to use project privacy settings:

  • Setup a project to manage each sales opportunity - and invite the customer! You can invite people from your internal team to share and view all information about the opportunity. You can then invite the customer to the project and only allow them to view a specific document in the project. The customer will not be able to view any other project information or see who else is in the project.
  • Setup a project for each candidate you are interviewing for a job opening - and invite the candidate! You can create a project for each candidate and invite internal employees to interview and share thoughts. You can also invite the candidate and only allow him to view a task called "Submit Resume". The candidate will not be able to view any other project information. All internal employees, however, will be able to view the status of the task and the submitted resume.

What are custom fields?
You can create a custom field for each task to match your workflow or process. For example, a sales person can create a custom field to describe each stage of the sales process: Lead, Qualified and Sold.

Each project can have one custom field with as many stages in it as you like. In the previous example, the custom field could be called, "Customer Phase" and the stages could be called: Lead, Qualified and Sold.

How can I create a custom field?

  • When creating a project click "Advanced Options". Enter a name for the custom drop-down field. Below that, enter the custom drop-down options one at a time. Click "Save" to create the project with a custom drop down field in all tasks
  • You can also create a custom field for existing projects by going to the project home page and clicking on, '[Edit]'.

Where can I use the custom field?
Once a custom field is setup, it will be displayed for each task in that project.

How do I view tasks that have a custom field?

  • Login to Manymoon
  • Go to the project that includes the custom field
  • Click on 'Tasks' tab.
  • Select the appropriate custom drop-down option from the drop-down filters in the upper-right-hand corner.

 For an existing project, go to the project home page. Click '[Edit]', and you will see the due date field.

Looking to Archive a project.  Instructions say: 

  • Click on the project name. You will now see the Project Home Page.
  • To the right of the project name, click on '[Archive]'.

But I don't have that option on the Project home page.  Can you help.

Click on the project in the project list.

There will be a bunch of links to the right. One of them is archive. However, this only appears if you are a project administrator. As a project member, you don't have access to these options.

What is the difference between a project and an activity?

What I am really asking is this:  I want to break projects into activities and activities into tasks.  Is that the way it works?  Or am I not understanding the relationships among projects, activities and tasks.  i was not able to figure out how to add a task to an activity.

So a project is a data object that represents something that needs to get done. It can contain tasks, documents, links, events, etc.

There is no such thing in Manymoon as "an activity". The Activity tab is a news feed that tells you what's going on in your projects, tasks, etc.

I cant seem to save my project target dates at all! every time I do it either error's out or just doesnt save. I'm running on a mac in Chrome browser, but it does the same on my windows XP machine as well- any ideas?

Hey Sam,

I responded to this in a ticket. The problem is your time zone setting is set to an obscure GMT-6 setting. If you set it to a more normal one, like Gmt-6 America/Chicago, it will solve the problem.

Hi.

I have now created a lot of projects and i see that you can only see 10 projects on the left hand side. Is it possible to make the list longer or is it locked to only show 10 projects no matter how many projects you have? We are still using the free version (we just discovered this yesterday), but highly considering updating.

Hey Alexander-- The left hand side project list only shows your top ten projects, but you can see all your projects by clicking on the white "Projects" link at the top of the list. Once you see your full projects list, you can drag your most important projects to the top of the list, and then they will show up on the left hand side list.

We also found something that might be useful for you to make: We are using tags to sort our projects so it would be nice if you were able to have an option to make "sort by tags" the standard way to show groups.

I would like to edit the target date for a project but the project was loaded by someone else. Does the project owner have to edit the target completion date?

You need to be a project admin to edit the project details. You should ask the project owner (the first admin) to make you an admin as well.

It would be great to have the ability to scroll through that "10 projects limited" sidebar so all projects can be seen from there. So, basically instead of a static 10 project box, it would be scrollable.

Also, once a user clicks on that "projects" link in the sidebar and sees a list of their projects, it would be great to be able to sort that list alphabetically so all of my projects with the same customer name are in order. I know I can tag the projects and group by tag, but that, too doesn't put the tags in any understandable order.

Would it also be possible to make projects prioritized like tasks (some projects are more important that others, and I have 36 total projects at the moment)?

The dragging and dropping feature is definitely cool. The only thing is that the "projects (lefthand) sidebar" on all screens is based on the top 10 projects on the projects screen. So if I drag and drop all projects from the same customer together on the projects screen, the projects sidebar wont contain the top 10 currently important projects, only the first 10 projects grouped together from the projects screen.  I love and swear by Manymoon for work, but would love to be able to sort that projects screen alphabetically one day. Thanks!

@CustomerService: So, I took your advice and have been trying the manual drag and drop sorting. I still find it to be an unnecessary step as the amount of my company's projects continue to grow.  It would be great if we could just sort alphabetically. Not sure why there would be any resistance to this... ?

I have 50+ projects at the moment, and simply want to sort by customer name (which is how I start each project name). Even when I sort using the "sort by tag" method in the project page, it is not in alphabetical order.  What order is it in??

Please consider this-- Alphabetical is a pretty standard sorting method, and would make things a ton easier. Thanks!

Hello, I have linked in a google calendar to a project. Is there a way for tasks assigned to different members display in different colors?

Great suggestion.  We don't have that feature today since the project calendar feature relies on the color coding capabilities of Google Calendar.  All tasks from that project go into a single, shared Google Calendar which in turn can only have one color.

Sorry, we don't have any alphabetize filter for the project list. I can't even think of a good workaround for this one, other than using drag and drop to keep the project list in alphabetical order. Sorry.

I can only see projects started by me.  How can I see all projects I'm involved in.  I have clicked on the white Projects tab, and only my own created projects show up there.
