Using Templates

What are templates?
Every job function, person or organization has workflows and processes they may continuously use. Manymoon allows you to set up a template for each workflow that can be applied to future projects. You can make templates private, public or selectively share them.

Templates are created from existing projects, and can then be turned back into new projects. (Templates CANNOT be applied to existing projects.)

What can I include in a template?
You can add the following project information to a template:

  • Tasks
  • Milestones (included associated tasks)
  • Uploaded files
  • Links
  • Tags
  • Members (including their tasks). NOTE: members are not included if you make the template public.

How do I create a template?
Go to an existing Project Home Page and click on "New Template". You can now give the template a name (by default, it will use the project name), select which project information to store in the template and who can view this template:

Note: If you leave the "Members" box unchecked, when the template is turned back into a project, all tasks will be assigned to the project creator. If you check the "Members" box, the template will assign tasks to their original owners.

 

How do I create a project based on a template?
You can easily create as many projects as you like based on any templates available to you:

  • Login to Manymoon
  • Go to the Home Screen
  • Click on the 'Create -> New Project' 
  • Click on the "Select From Gallery" link. A list of all templates will be shown. You can filter for Public vs. Private templates.
  • If desired, select the Template category (Sales, Marketing, etc.) on the left hand side of the screen to narrow down the choices
  • Select which template to use by clicking on the template name
  • You can look through the various tabs to see what's in the template
  • Click "Use Template"
  • Finish creating the project and click "Save"

Who can I share a template with?

 You can set permissions for the templates you create:

  • Public - the template can be viewed and used by everyone using Manymoon.

The following permissions are only available with a subscription to Manymoon Silver, Gold or Platinum:

  • All connections - the template can be viewed and used by all of your Manymoon connections.
  • My colleagues - the template can only be viewed and used by people in your company or organization.
  • My team - the template can be viewed and used by people in your Manymoon Team.
  • Private - the template can only be viewed and used by you.
  • Custom - you can select which specific people can view and use your template.

How can I view templates?
They're available in the Template Gallery, which can be accessed by doing the following:

    • Login to Manymoon
    • Go to the Home Screen
    • Click on the 'Create -> New Project' 
    • Click on the "Select From Gallery" link.

How do I delete a template?
You can delete them from the Template Gallery by clicking the 'x' next to the template name that appears when you hover your mouse over the item. You must be the template owner to delete it.

How do I edit a template?
You currently cannot edit templates from the Template Gallery.

You can, however, create a new project based on a template, modify that project and create a new template.

 

Using Templates to Duplicate Tasks

There's no way to duplicate tasks in Manymoon, but you can use templates to accomplish a similar result. Let's say you have 15 existing  projects, and now you realize you need to add a standard set of tasks to each project. Let's call these tasks A, B, C, D, E, F. 

Here's how you can use templates to more easily create these tasks.

1. Create a project called "Task donor" or something similar.

2. Add tasks A, B, C, D, E, F.

3. Turn the project into a template.

4. Turn the template "Task donor" into a project called "Scratch"

5. Reassign the tasks in Scratch to the first of the 15 existing projects by opening them up and changing their project assignment.

6. Delete the now-empty project Scratch.

7. Repeat steps 4-6 for each of the existing projects.

I like the idea of creating 'Private Templates' from a 'Project' with 'tasks' and 'Milestones'. However I find that if I rearrange the task list in a 'project' then create a 'template' from it, the 'template' does not reflect the changes made.

This is a known issue. Please add your request to http://support.manymoon.com/entries/407932-keep-tasks-in-order-within-milestones. For better results, state the issue and what you would like to see changed.

My co-worker is trying to create a template and is including "tasks only" and "my team". However she is getting an error "cannot create an empty template". Can you explain this error?

Can I create a template with milestone/task due dates that are # of days from project end date? So when repeating use of the template I do not have to reassign dates every time I use the template.

Sorry, we don't have this kind of variable date functionality. 

While we don't have the feature you describe, it is a good idea. The best way to get this feature built is to enter and vote for it in our Support Universe feature request forum.

I tried to create a template, but was having issues and deleted the test template. Now I can't create a template, because I am only allowed one template for my account type, but I don't have any templates at all. Am I to understand that with a basic account, if you delete your only template you can't ever create another one?

No, you should be able to create unlimited templates with the free account, although they all have to be public. Do you want to try again? Make sure you're trying to create a public template.

I made the public template, but I can't put it in a category and I can't figure out how to search for it. I can't find it!

I can't create a new private one?

Hey Craig,

Sorry, there is a long list of public templates and it's hard to find individual ones. You just need to scroll through the list. You should be able to put the templates into a category during the creation process, using the drop-down in the template creation dialog box.

To create private templates, you need to have an upgraded version of Manymoon.

documents do not pull over into template from base project

and the milestones are out of order in template from base project

the template should be exactly like the base project

Joe--These are both known limitations.

1.Google documents do not carry over into templates, but uploaded documents do.

2. There is a workaround for the milestone order issue. Number the milestones and they should hold their order.

so tired of workarounds with every app out there

wanna do something like copy tasks? no, there's a complicated workaround for it - want something simple like keep milestones in order? no, you gotta workaround that too

can any apps out there just get it right?!?

known limitation? well why don't you make it more clear on this page - because it is not known to first time PAYING users

also, while i'm here - in projects in general, I go through the trouble of ordering tasks within the milestones - but then in the task tab places them all in alphabetical order - WHY?!? 

this is simple, intuitive stuff - I order the tasks in the milestones (date or no date) then they should show up in the same order in the tasks tab - come on!

I have a standard template holding all possible tasks for new projects and milestone.   I use a project calendar to display all the project tasks for multiple projects,  but this can become very messy as by using a template the task look like duplicates on the calendar.   I do not want to have to manually update the name with a prefix on every task 50+ each time I use my project template so that I and distingush with task is for what project.  Equally I do not want to have multiple calendars in Google Doc as this also becomes a messy way to manage.

Is there a way to add the project Name or prefix each task item as I use my template to avoid confusions on them?

Hey Lin--Sorry, I understand the issue but I can't think of any automatic way to achieve this. It's a fairly rare use case to have multiple projects on the same calendar with identical tasks.

The only solution I can think of is to create the new project using a CSV import. You could essentially use a CSV file as a template, and make changes to the file in Excel  before importing.

Hello

We have free edition and we created a new template (private). But it was not correct so i deleted and tried to create another one but i haven't permissions as we have free edition.

So i ask, as i deleted the one and only template i created, why not to be allowed to create another one?

I'm afraid you've run into a limitation of the free version of Manymoon:

-You can only create a project template once, even if you then delete it
-You can only add a calendar to a project once, even if you then delete the project
-You can only turn project privacy settings on for one project, even if you then delete the project

I apologize for any inconvenience this has caused. However, the only solutions to this are:

a) Upgrade
b) I can close the account and you can start over by signing up again
c) Open a new Manymoon account with a different email.

Please let me know if you'd like me to close the account.

I have created a private template and shared it only with my colleges but when they login to their account they are unable to see the template.   If I create the project for them they are unable to change the tasks etc.   Can you help please?
