Working With Uploaded Documents

Note: This section applies to uploaded local documents. For more on attaching and working with Google docs, please click here.

How does this feature work?
The Manymoon document sharing feature is a great way to share documents with co-workers, partners and customers. Manymoon now allows you to add context to your documents. That is, you can link each of your document to any Manymoon task or project. This has a couple of advantages:

  • The best way to organize your documents - instead of creating a complicated folder structure for your documents and figuring out who has access, you can simply group documents in your existing projects and tasks.
  • Automatic sharing - when you attach a document to a task or project it is automatically shared with members of that task or project!

Where can I attach a document?
You can attach a document in three places:

  • Task - when you create a new task, click on the "Upload a File" link under Attachments or for existing task, click on the task name and in the task screen, click on the "Upload a File" link under Attachments. Make sure to save the task after attaching the document.
  • Project -  go to an existing project's Home Page and click on the "Documents" tab, then on the "Upload a file" link
  • Your Home document list - click "Home", then on the "Documents" tab, then on "Upload a file".

How do I delete the document?
You can only delete documents uploaded by you. Simply hover over the document in the document list and you will see a trash bin icon. Click on the icon and the document will be deleted. Note: The document will be removed from all tasks and projects that it was previously attached to. 
You can also delete the document by simply deleting task(s) that the document is attached to.

Who has access to my documents?
Only members you have shared task or project with will be able to access the documents you have attached.

Is my data backed up and reliable?
Yes, we store your data in Amazon S3 and are backed by Amazons service level agreement that can be found here. Amazon's storage is probably more reliable than the hard drive in most computers. All traffic to and from our servers are encrypted.

What types of documents are supported?
We support uploads of all types of documents except .ocx, .com, .bat, .dll and .exe as there may be virus attachments that could potentially be a security threat to anyone that downloads the file.

In the Home Documents tab, which documents are shown?
Only documents that belong to CURRENT tasks and projects that you are working on, or documents you uploaded directly into the Home Documents list.

Posting Links

What can I do with this?
This is an easy way to share information you find online with people and allow them to start commenting on it. For example, you might read an interesting article online and want to share it with your department to see what they think. You can simply copy the link from the Internet into Manymoon, select your department and they can immediately start adding comments on the article.

Where can I access all of my links?
From your home page, click on the 'Links' tab. You will see a list of all links that you have access to. This will includes posted by you and posted by others. You can also post links from here.

Can I delete links?
From the 'My Links' tab, you can delete links that you have posted. This will remove the link from the associated task or project. Also, anyone who had access to that link will no longer be able to view it. NOTE: this will also delete all comments associated with this link.

 

Scheduling Events

What are events?
It could be any event where people meet: staff meeting, lunch, conference call, demo for a customer, etc.

How does this feature work?
It's simple to use events:

  • Go to the Home or Project page.
  • Click Create->New Event and enter the event information. You can offer multiple dates/times for the event if you want to give people an option to choose.
  • Participants will respond with the dates and times that work best for them
  • You can view their responses and pick the final date and time
  • Download the event to your calendar or add it to your Google Calendar

Who can I invite to an event?

It depends whether you create the event from within a project or from your home screen.

Creating an Event Within a Project:

If you create an event within a project, ALL project members are automatically invited to the event. You cannot add or remove project members from the invite. This is a current design limitation that may get addressed in the future. 

Creating an Event from the Home Screen:

If you click the Home link on the left hand side of the screen, you can create an event in your home workspace, outside of any project. Unlike project events, you can control exactly who you invite to Home events. The downside is that Home events are not associated with any project.

What if I want to post a training date, for example, i want to post dates for a training that begins on June 5th and runs to June 10th.  Putting in multiple dates generates dates to choose from for the team, rather than showing an event as a multi day event.  How can I enter an event which occurs over a period of days, like a training or a conference?

Hey Aaron,


Sorry, but multiple-day events are not supported. Your only options are to create five separate events ("Event day 1", "Event day 2" etc.), or just put the event directly on the Google calendar.

Also, while we don't have the feature you describe, it is a good idea. The best way to get this feature built is to enter and vote for it in our Support Universe feature request forum.

What if I want to group my uploaded google documents within a project? For example, if I have 10 documents attached to a specific project, but I want to gather a few into a a topical folder, how would I do so?

Hey Janna--right now we don't have document foldering. However, this is a frequently requested feature and you should add your voice in the forum http://support.manymoon.com/entries/306274-folder-support-in-projec...

The other option is to create a task within the project and just attach the selected documents to the task. That way, the task serves as kind of a folder.

How do I create an event and NOT invite everyone in the project? It seems like they are added automatically and I can't seem to edit the field where it says "Invited: Project members" to remove them.

Sorry, you can't. It's a current limitation of the product. If you want to invite a select group of individuals to an event, you can create the event from the Home screen instead of within a project. It's not an ideal solution but it does work.

As Project Manager, I'm trying to delete a Google Document that was attached by a team member. It doesn't look like I can. I also logged in my Manymoon administrator and even that account can't delete documents uploaded by other people. This should really be allowed. Did I miss something?

Jonathan-- Sorry, you've hit one of the limitations of the system. Only a doc's original uploader can delete it. We may eventually give this power to admins (I agree they should have it) but I can't give an ETA for the change.

I don't want to send an Event notification to every member but the system automatically adds them and I can't delete in the "Invite" field.

Please advise.

You mean even I have the gold account. And have a role as admin I can't delete a file shared by a member of my project? If that the case what's the meaning of mange data in the settings page?

Little Dragon and Leo -- These are both known limitations in the system. I apologize for any inconvenience

Leo -- While you can't delete files uploaded by other project members, "Manage data" gives you a lot of other control over tasks, events, etc.

I created a project and have 8 others in the project with me. I have a silver account. I can create links fine but I've tried to create a document 3 times and each time I got no warning message when I clicked Share but the document is nowhere to be found...

 

no listed in the Documents tab, not in the activities, etc.

 

Another team member uploaded a document (a pdf) and none of us can see it. He sent us a link to his profile page and his tagged page. On his side he is seeing the document. None of us can see it within the project!

 

So frustrating!

Dave,

Sorry for the problem you're having. It is very odd, though. Can you possibly send me the exact name(s) of some of the documents you have uploaded but are not appearing? Also, I'd like to ask you for permission to upload a document into your account as a test.

Hopefully this is cockpit error on my part as I try and understand the Manymoon interface (which honestly I find challenging despite it seemingly being "simple" and akin to other online collaboration  tools).

One document I tried to upload multiple times and cannot find is "mf-diet-cure.pdf"

My team member Todd uploaded "Diabetes Types 1  2.pdf" and I cannot see that although he said it was uploaded with sharing to the project.

Unfortunately you can't change the location of existing links in Manymoon. You will have to reattach the links to the project, either by going to the project's Links tab, or by attaching the links to task in that project.

Hello, i use manymoon alredy a two months and from the beginning i noticed that documents from general tab do not work. When i chose a project and then document tab all is ok. when i chose general tab from home/tasks error hapens: 

An error occurred while processing your request. Please refresh the page and try again.

I hoped it will be solved but it is not. see attachment.

I submited a support ticket too.

Gotcha, found that earlier, thanks. How about restricting people from seeing other people existing on the same project? For example, I wanted to give access to a project to a client and the person I'm outsourcing the work to, but keeping them from seeing the other exists (keeping the client from seeing the task is assigned to someone other than myself, etc.) 

Is there an article you can direct me to, or is that not really possible?

Hello,

I am trying to upload a document and send an email to the members in the project.

I upload the file. Click the "Send Email" box, and the file is uploaded to the project,  but no email is sent to the project members?

Can you please explain why the project members aren't receiving an email. Thank you

Danny--Sorry for the trouble you're having. Can you please have your project members check their spam filter? Also, is it possibly you have a company-wide spam filter that might have caught the email?

If not, please try this:

1. Create a brand new project

2. Invite one colleague who sits next to  you.

3. Add a document and check the "send email" box

4. See if the colleague gets the email.

Let me know what happens.

Hey Danny,

You need to change your settings. Not sure why this suddenly started happening.

1. Go to your profile

2. Go to settings tab

3. uncheck "Store my uploaded files in Google Docs"

One other question, I can't remove "aka trash" documents that other people have uploaded. As an admin, shouldn't i be able to do this?

Danny--Sorry, that's actually a design limitation. The only way to delete documents is to ask the original poster to delete them. Unfortunately, I can't give any information on if or when this will be changed.

That's a stupid design limitation. You guys obviously aren't idiots if you created this website, it's kind of ridiculous that you can't change a small detail like that over night or at least in a few days.
