Working With Google Docs

How does this feature work?
Google Docs are a great way to work on documents, spreadsheets and presentations with co-workers, partners and customers. Manymoon now allows you to add context to your Google Docs! That is, you can link each of your Google Docs to any Manymoon task or project. This has a couple of advantages:

  • The Best Way to Organize Your Google Docs - instead of creating a complicated folder structure for your documents and figuring out who has access, you can simply group documents in your existing projects and tasks.
  • Automatic sharing and un-sharing - when you attach a Google Doc to a task or project it is automatically shared with members of that task or project! If someone is removed from a project then all Google Docs in that project will automatically be un-shared with them.

Does this feature with my Google Apps account?
Yes! 

What do I need to use this Feature?

Your Manymoon account needs to be linked to a Google account. For more information, click here. We recommend that the email address you use for Manymoon matches the email address you use with your Google Docs account.

Where can I attach a Google Doc?
You can attach a Google Doc in three places:

  • Task - you can attach a Google Doc to any tasks. Click on any task name and you will see the task screen. To attach a Google Doc to this task, just click on the image that says "Google Docs" and choose either "Create Google Doc" or "Choose a Google Doc". Make sure to save the task after attaching the Google Doc.
  • Project - you can attach one or more Google Docs to any project. Click on any project name and you will see the Project Home Page. Click on the "Documents" tab and click on the link that says, "Attach from Google docs".
  • Your Home document list - click "Home", then on the "Documents" tab, then on "Attach from Google docs"

What rights are granted to the people the Google Doc is shared with?
The members of that task or project will be able to access the Google Doc as collaborators.

I am unable to access a Google Spreadsheet that was shared with me?
Sometimes Google limits the number of people who can share a Google Spreadsheet. If you encounter this issue, send a message (e.g., within the task comment) to the owner asking them to manually share their spreadsheet with you.

I tried to attach a Google Doc but was shown an incorrect list of documents?
Manymoon, by default, will use the last Google Account you specified when attaching a Google Doc.

How do I switch which Google Docs account is used?
When you click on, "Create Google Doc" or "Choose a Google doc" you may be prompted to select which Google account you would like to use. Alternatively, just click on "Change Google Account" and you can switch to another Google Docs account.

In the Home Documents tab, which documents are shown?
By default, Manymoon will only show the documents associated with current projects or open tasks. To view documents associated with past or archived projects, you must go to the respective Project Home Page. To view documents associated with closed tasks, you must go to your Tasks -> Completed filter view.

How do I change my Google Account linked to Manymoon?
If you need to change the account you use to access your Google Documents and Calendar, follow these steps:

  • Login to Manymoon
  • Go to your Profile
  • Click on Settings
  • Scroll down to Google Account
  • Click on Assign/Change Google Account
  • Login to or select the Google Account you wish to use

Do I have to be the owner of a google document to load it?  I am trying to load two google docs.  I have "Edit" abilities and they still don't show up on my list.

Hey Leah,

Are you sure the Google docs show up in your native Google doc list? If so, and they don't show up in the Google doc list in Manymoon, then try refreshing the screen. If it still doesn't work, are you sure that the docs were shared with your specific Manymoon email? (i.e. wasa*****@*****.com)

Why do I receive the following message when I try and upload a document (in this case a .DOC file):

"Unable to upload to Google Docs, please try again later. Please make sure you are a Google Apps Premier customer to use this feature."  -?

I am a (very) small business and neither want nor need a Google Apps Premier account.  Is this really necessary?  I thought MM was fully integrated with Google docs -?

David--Manymoon is trying to take the local document you're uploading and create a copy in Google docs. This is an advanced feature that's only available with paid Google Apps accounts. To fix this, go to your Manymoon profile Settings tab and uncheck "Store my uploaded files in Google Docs".

Baby Beau & Belle .

We have attached from Google Docs: documents and spreadsheets as well as local jpegs. It does not seem to organize these very well. Is there a way to organize all these items? It would be great if they functioned like tasks where you could just drag and drop into any order you want, such as all spreadsheets on top, then documents, then jpegs. It is quite confusing now, having to sort through a lot of different documents to find what you are looking for.

Sorry, it lists them in order added and there's no way to sort.

2. Click on your name/photo in the upper right hand corner of the screen to go to your profile

We have a situation where a member attached a document to a task, and it is now showing in the Document Tab 2x (loaded by two different people).  the first time the document was loaded, it was done simply to load the document into the documents tab.  The second time it was attached to a task.  How is it possible that a document can be duped?  I have tried to recreate the problem and can't.  I have asked the second member to remove the document, but he can't see the duplicate.  (this is one reason why the Admin needs to be able to remove any and all documents).  How do we keep this from happening in the future?
