How do I Sync My Google Task List and Manymoon Tasks?

Introduction

Manymoon makes it possible to keep your Google Task List and your open Manymoon tasks in sync. 

To use this capability, your Manymoon account's primary email needs to also be a Google Apps, gmail or Google email. For more on this, please click here.

Make sure you read the WARNING at the end of this article.

What is the Google Task List?

The Google Task list is a widget you can add to your Google mail (gmail) or Google Calendar pages. It allows you to quickly jot down tasks that you need to complete.

To Activate the Google Task List on you Google Calendar Page

Click the "Tasks" label on the left hand side of the screen. The Task widget will open up on the right hand side. See below.

Activating Sync Between Manymoon Tasks and the Google Task widget

What Gets Synced

You can sync your open tasks in Manymoon with tasks in the Task widget. Your open tasks in Manymoon are all the tasks that are a) assigned to you and b) still open. If you go to the Manymoon Home Screen, click the "Tasks" tab, and set the first filter to "Me" and the second filter to "Open", you will see this set of tasks. See below.

How to Activate the Sync

In Manymoon, go to your profile by clicking on your name or picture in the upper right hand corner of the screen. Make sure your popup blockers are turned off or disabled for www.manymoon.com. Then click on the Settings tab, and check the "Yes" radio button. See below.

You will see a pop-up asking you for permission to access your Google Tasks.

Click "Allow Access". The dialog will disappear. Task sync is now activated.

 

Note: It's possible to have more than one task list in your Google account. Manymoon only syncs with the "Default" task list. See below.

Using Task Sync

Go to your Home Task list and click the "Sync my Google Tasks" link. You will get a dialog that says "Google tasks synced successfully" and when you close it, and refresh your screen, you will see your Google Tasks in the task list. See image below, which shows the Manymoon task list.

Refreshing the Sync

If you add tasks to the Google Task list, you should refresh Manymoon by clicking the "Sync my Google Tasks" link (see image above). If you add tasks to Manymoon, you should refresh the Google Task list. On the Google Calendar or Gmail page, click the list icon at the bottom right of the Task list and select "Refresh List".  See below.

WARNING WARNING WARNING: Important Notes on Using Google Task Sync

1. If you complete a task in Manymoon or in the Google task list, it will display as crossed off in your Google task list.

If your list gets too cluttered with completed tasks, you can click Actions->Clear Completed Tasks and Google will hide the completed tasks. However, this will DELETE the corresponding tasks from Manymoon the next time you sync. In other words, if you don't want completed tasks deleted from Manymoon, you need to live with the clutter in your Google task list.

2. As a corollary to #1, if you do remove or delete tasks from the default task list (by trashing them or moving them to another task list), and then sync your tasks from within Manymoon, the corresponding tasks will disappear from Manymoon and cannot be recovered.

 

Starting from Scratch

If your Manymoon and Google task lists ever get out of sync, you can restart the whole process by following the procedure below. YOU MUST FOLLOW THE STEPS EXACTLY TO AVOID POTENTIAL TASK DUPLICATION OR DATA LOSS.

 

 

1. Clear your browser cache

2. Log into your Google Apps account and then into your Manymoon account

3. Go to your profile by clicking on your name/photo in the upper right hand corner

4. Click on the settings tab.

5. CRITICAL STEP: Turn Google Task sync OFF by checking "No" next to "Sync my Google Tasks:". You should see a warning dialog. Click "Ok.

6. Click the "Home" link in the upper left hand corner of the screen, and the "Tasks" tab. This is your home task list

7. Make sure the drop down filters are set to "Me" and "Open". The list of tasks you see now are open tasks assigned to you, and are the tasks that will be synced to Google.

8. At the top left of your task list, you may see a link that says "Sync my Google Tasks". If so, refresh the screen. The link should go away.
CRITICAL: If the link does not go away, you have not turned the sync off correctly and should return to step 3.

9. Return to your Google task list and delete all tasks from the default list, leaving it empty.

10. Return to your Manymoon profile and change "Sync my Google Tasks" to "Yes". Accept the authorization screen.

11. Return to Google and refresh the task list. Your Manymoon tasks should be pulled in

Both task lists should now be correct and identical.

Agree with Jason on the refresh. In practice, this almost makes it unusable. I know that I can keep disciplined enough to do it, but I can't say the same for my employees. They might have finished a task, and even checked it off in Google Tasks, but if they don't sync it doesn't work. Why can't some sort of autosync be enabled to run every 5 minutes or so? is this a bandwith issue?

Pefect feature ..but you are really right in your critisism

We really need to have a Auto sync feature

... the way to have full confidence in the task list, is no room for simple errors like forgetting to push sync. Learn from Apple and cut workflows down to a absolute minimum push of buttons

 

But really nice to see some development action on Manymoon ... keep up the good work :-)

We have a free MM through a Google Apps account, but I'm not getting this option in my settings.  Is this only available to paid accounts?  We are planning on upgrading, but I'm trying everything I can out first to be sure this is the right solution for us.

Denise -- This should be available in all accounts, free included. Are you looking in the settings tab in your profile? If so, and you don't see the option, please clear your cache and/or try another browser. If you still dont see it, submit a support ticket.

 

Aldo -- You can go to your profile->Settings tab and turn task sync off and back on again. Then go back to home->tasks tab and click the sync link. The problem is it may pull all the tasks into Google task AGAIN, creating duplicates. If you can live without your old tasks in Google, I would do that.

I also have a problem with the "sync link". I have turned it off and on in Manymoon, logged off, restarted the browser - no link.

Started another browser, still there is no "sync link" in Manymoon.

However the tasks from Manymoon were synched to Google Tasks (I actually ended up with double tasks, as mentioned above)

* Does the Customer Service have any idea? 

 

PS.

I would like to take the opportunity to say that Manymoon is brilliant. 

We use it within our members of the board (in our neighbourhood community) to keep track of common activities to perform and upcoming events, and it's perfect. 

Some users would like to have it in our native language (Swedish) beside that, we love it.

The sync link appears at the top of your home task list. You have to click on Home, then on Tasks, then make sure the filter is set to "ME". See screenshot below. If you check again and it's still not there, please file a support ticket and I'll look into it.

Thanks a lot ... I have a problem with the dates, when a I do task in manymoon change the date in one day, example, if i put 26/05/2011, in my google calendar shows in the 27/05/2011 , any advise?

this could be a really great feature.

if you can auto sync to google tasks, i can use gtasks to sync to my android, and at last manymoon would be just what i need.

please get an auto-sync up and running asap.

also noticed, i was logged into my wife's gmail when signed into manymoon on my google apps account. when i clicked sync, it sync'd the tasks from my wife's google tasks, not mine... - potentially bad bug here?

Evan,

We're looking into auto-sync but I have no information on when or if it will get built.

In terms of the bug you mention, you can have unspecified behavior if you're logged into a different Google account on the same browser. We can't prevent that kind of error, unfortunately, you have to make sure you're logged in to the right Google account on the browser.

 I have a small problem with the Google Tasks sync: if I mark a task as "completed" in Google Calendar (or Tasks), it gets deleted from Manymoon - is this supposed to happen?

It doesn't get deleted from Manymoon, it gets marked "closed". You can still see it in Manymoon in the task list if you change the filter to completed. Let me know if this works for you.

I change Dates from Tasks with no due dates in Manymoon. In Google all changed tasks dont have a due dates. I try to refresh the Google Tasks list, and I try "sync my Google Tasks". Dont work. What can i do next?

Hi Markus, sorry we are working on a bug where when you change the task due date from the TASK LIST, there is an error. In the meantime, you should click the task open and change the date from the task screen.

Chandra--the only tasks that will sync from Manymoon to Google are the ones that you can see in your Home task list screen with the filter set to "Me" and "Open".  Are these tasks not all syncing? If so please file a support ticket and give me the exact names of some tasks in Manymoon that are not syncing to Google. Thanks.

I think the link to Google Tasks is a great feature.  Unfortunately, I'm finding that Manymoon is syncing all tasks on all projects I'm working on (330 tasks and counting).   It does not seem to be filtering for the tasks that I'm assigned to.   If I look at the same list in Manymoon, my tasks number 35.  Is there a way to sync only those tasks I'm responsible for?

I spot checked a number of tasks.  None are currently assigned to me.  I suspect that the problem was me being assigned to the tasks originally.  A month or two ago I cleaned up my Manymoon Task lists.  I'm a heavy user and delegate tasks to our teams very frequently.  Early on, I allowed myself to be teamed with the person I delegated the task to - this way I could see when something was being completed.  Problems arose when we plugged all of our projects and teams on Manymoons.  A Task list with hundreds of tasks becomes unmanageable - Time to Delegate !  I did this and now my Manymoon list is down to 35 or so - very manageable.  Problem is Google appears to still be syncing the original tasks making that list unmanageable.  I've included a couple of screen shots for this.  We're looking forward to the IPhone App - this will solve a lot of problems.  In the meantime, I'm hoping to use Google Sync to manage my life on the fly.  Let me know if you want more detail - screenshots attached (see SCE G04).

I've confirmed a bug where if you were originally assigned to a task but have removed yourself, it will still sync. I'll let you know when it's fixed. Sorry for the hassle.

No, sorry. Sync will remain manual for the foreseeable future. Autosync would require constant polling in both directions and is technically impractical.

I agree with Ignasio, and would love to have MM create a separate task list in google for each project using each project as a Google Task List name. Not all of my tasks are specific enough for me to know what customer it is for (i.e. I don't title my tasks "Customer A: XYZ Product: "Did we receive the samples from customer yet?").

As always, I love Manymoon-- just a suggestion! ;)

Is there a set or even estimated time frame for when the automatic sync would be available.  I just recently changed over to google apps for the collaboration available through manymoon, but without auto sync, I do agree it almost makes it not worth the effort and I might have to see what other apps over this capabiltity.  

Is there auto sync in the non-free versions?  Is there a way to sync multiple list from gmail as opposed to just the default in any of the paid versions?

When I attempted to use the Sync to Google Tasks feature, it indeed synced ALL of the tasks assigned to me, (including Deferred, and Deleted ones, which I wasn't interested in Syncing) however it seems to have also taken the 'Deferred' tasks in MM and made them back into 'Open' tasks, all by itself.

I repeated the experiment, by deleting all the tasks in the Google Tasks Default list, and once again changing all of the tasks in MM I wish to be Deferred, back in to 'Deferred', and followed instructions above to select "Me" and "Open" (as I had inadvertently left it selected as ALL TASKS the first time).  THIS time, after Syncing, Google Tasks was populated with the correct tasks (Me, Open) but ALSO still the deleted ones (that I can't find listed anywhere on MM).  

Biggest problem was when I looked back in MM, after this Sync, I found that all of the 'Deferred' tasks had completely disappeared!  They are no longer on ANY of the lists: All Tasks, Deferred, Completed, I checked all of them.  (Fortunately I'm a brand new MM user, thus these Deferred Tasks were actually from a Template, so no lost data, however this could have been disastrous for someone who already relies on this system for details on projects.)

I will refrain from using Sync to Google Tasks for the moment, however thought you may want to be aware of this bug.

I just realized that the reason the Deferred Tasks were likely deleted from MM, is because I deleted them on Google Tasks before the 2nd Sync.  I didn't think this would be an issue, as I was not asking it (the 2nd time) to Sync 'All Tasks', but rather only the 'Open' ones.  This still seems glitchy, as if someone inadvertently (as I did) Syncs 'All Tasks', there is no way to get them off of the Google Tasks list, without affecting MM.

I will add these Template tasks back in, defer them, and try again to see how it goes.

Ok, third try, with Template tasks added again and then marked as 'Deferred'.

Selected 'Me' and 'Open' and once Sync was complete, the Deferred tasks WERE synced to Google Tasks, and in MM they were no longer marked as 'Deferred'.  Seems to be a definite bug.

Hope this all helps you to recreate and narrow it down.

I understand that auto-sync is not an option, but how about putting the Google Tasks Sync link somewhere other than Home -> Tasks? Maybe as a persistent link somewhere. Or at least on the tasks screens for individual projects. It's kind of a pain when you're working on a bunch of tasks in a project and then have to jump back to the Home -> Tasks page to do the sync.

Hi, so my Google tasks were syncing for a while, but then just quit.  I tried changing the setting to allow tasks to sync, hoping that somehow "resetting" the sync option would get it back in gear.  Unfortunately, I can no longer choose the option to sync my Google tasks.  Please advise.  Thanks!!

I've been following the Google Tasks/Manymoon sync discussions and I think things are moving in the right direction.  When I first used sync, Google Tasks imported any task that I had ever created into my task list (hundreds of tasks).  I posted my concerns on this on 6/20/11.  Since then I have not been able to whittle my list down in Google  - even though my Manymoon list includes 10 to 20 tasks.  Is there a way to easily clear the Google Task list so that I can start the sync over?  I've only been able to delete these one at a time, and I'm guessing it would take me 3-5 hours to clear my Google list.

Any updates on how to clean up the sync'd lists?

David - just to elaborate on your last "WARNING: Deleting tasks from the Google task list to "clean it up" can delete them from Manymoon as well."  I thought I would be able to navigate around this by handing off a task on my list in Manymoon, then marking it as complete in Google Tasks and Syncing.  Here's wht I did:

  1. Created a shared task for myself and another member of my team.
  2. Sync'd my task lists so the item was showing up in both Google Tasks and Manymoon.
  3. Completed my portion of the work, so I handed this off to my partner and removed myself from the Task in Manyoon.
  4. Marked as complete in Google Tasks 
  5. Re-sync'd my task list
  6. Cursed out-loud when I discovered that Manymoon had completely deleted the task (it didn't leave it alone since I was no longer on the task as I had hoped, nor did it simply mark the task complete - it completely erased it).
Shouldn't tasks that you are no longer assigned to in Manymoon be protected from deletion?  Or, shouldn't Maymoon just mark them as complete, leaving them intact instead of erasing them?

We do a lot of handing off of tasks, and I'm trying to keep both may Manyoon and Google Task lists as short as I can (show me only what I'm working on please).  What steps can I take to ensure that future "hand-off" tasks are not deleted?

David -  A quick follow up.  It now appears to me that if I create a task and don't immediately make an assignment to someone on our teams, this task is permanently linked to me.  Here's what I've been doing:

  1. Create a new task in Manymoon without immediately designating who this is assigned to.
  2. Edit the task immediately and make someone else responsible for the task.
  3. Do not sync my Google Tasks and Manymoon tasks while I'm making the readjustment of task ownership.
However, when I perform a Google Sync, these tasks are imported - apparently because I created them and didn't immediately hand off.  The work around is to create the task and assign it to someone else immediately.  If you do not, the task will be on your Google Task list, and if you ever mark it complete on that list and perform another sync, it will delete the task, and all contents, links, documents, even though someone else might have been working on this.  

This seems like an important thing to fix.  If one of my teammates hands off a task to me, only to mark as complete on their Google Task list, I'm going to be a little crazed.  Seems like a solution would be to only mark the task complete, leaving all info intact.  Otherwise - this is a landmine.

Tim--I've filed a bug on this. Remember that you can't create a task with no assignee--if you do, it puts you as the assignee. That's why the task is linked to you. The bug is that when you transfer ownership, the Google sync code doesn't recognize that you're no longer an assignee. I'll let you know when it's fixed.

Aside from the bug - tasks remain on your Google Task list once they've been handed off - I think the other fix needed is not to simply "delete" the tasks.  We archive our completed tasks in case questions come up later - "hey, I've handed off a task to you with a whole lot of support documentation and thread of all important communication - please don't delete this!"   We mark tasks complete, then place them in a Milestone called "Archive - Completed Tasks".  Linking MM tasks to Google tasks is a great feature that reinforces it's strength as fully integrated with Google Docs.  However, if important conversations disappear because my teammate marks them complete on his Google Task list, this is a weakness.  Any hope completed tasks can be simply marked as "complete" in Manymoon?

Tim--If the bug did not exist, and you handed a task over to a coworker, and then refreshed your Google task list, the task would NOT remain on your Google task list. So fixing the bug should prevent this issue. Does that make sense? 

The key is that to use the feature correctly, you have to resync Google when you make changes in MM, and vice versa. I.e. make sure things stay in sync.

Having the task disappear from your task list in Google is important for those of us who manage and direct project related info.  In Manymoon, tasks can be shared, and you can chose whether one person can complete a task.  If you share the task with someone and they mark it complete, the communications and documentation attached remains intact.  I'm hoping your team will find a way for tasks marked complete in Google Tasks to simply be marked complete in Manymoon.  I think only creators of tasks should be allowed to delete them, and that this should only be done in Manymoon.  My two cents.

Hey Tim, 

What you describe is how the system works. The only way a task will get deleted in Manymoon is as follows:

1. A user with the task on their Google task list deletes the task from the Google task list

2. The user then goes to their Manymoon home task list and clicks "Sync my Google tasks"

To prevent this, users need to be educated not to delete tasks from their Google task list unless their intent is to delete the task entirely.

Instead, users should mark tasks complete in their Google task list. The task will appear crossed out, so they know it no longer needs attention.

To put this another way:

1. If you complete a task in Manymoon or in the Google task list, it will display as crossed off in your Google task list. If your list gets too cluttered with completed tasks, you can click Actions->Clear Completed Tasks and Google will hide the completed tasks. Note that this does NOT remove the completed tasks from the "default" task list--they are still there. If you want to see them, click Actions->View Completed Tasks. 

2. As a follow up to #1, if you do remove or delete tasks from the default task list (by trashing them or moving them to another task list), and then sync your tasks from within Manymoon, the corresponding tasks will disappear from Manymoon and cannot be recovered.

David,

Just hit the Google Task landmine.  Here's what I did:

  1.  Created a new project using a standard Template we have - this imported about fifty standard project tasks.
  2. Opened the new project and noticed that I had been assigned ownership all tasks, by default.  I'm not sure if I sync'd my Google Tasks at this point, or if my Google Task list updated automatically.  Anyway, my Google Task list suddenly had sixty tasks I'm not working on.
  3. I reassigned the tasks in Manymoon to a generic user "Unassigned Tasks" and took myself off the task.
  4. I then went into Google Docs and check the box next to each of these sixty tasks, then under actions I chose "clear completed tasks"
  5. A while later, after adding some misc. tasks in Manymoon, I clicked "sync my Google Tasks"
  6. I went back to the new project I created, one I had handed off to a teammate.  Voila - the sixty tasks that had been imported had been deleted along with all connected documentation.
I thought I had found a way around by not "trashing" items in my Google List.  Clicking "Clear Completed items", or merely marking them complete - I just don't know at this point, deleted all historic content.  I saw the landmine earlier and I stepped on it.  

I love the idea of syncing the lists - it's a way for me to carry around critical items on my IPhone, but if I'm going to routinely delete project specific information I've handed to someone else, this is not going to work.  My teammates will hate me first, Manymoon second.

Please advise.

I think this is an outgrowth of the bug we found earlier, that unfortunately is not fixed yet, where tasks created by you stay attached to you (for sync purposes) even after you reassign them. Let me check on the status of this. Sorry for all the problems here.

A quick comment to support the Android app release asap. That is the preferred solution to using the Google/Manymoon apps sync, per this thread discussion, as a viable work around with its inherent limitations.

Regarding the manual sync issue: would it be more "technically practical" to have the sync occur whenever the task list is refreshed (definitely more user friendly)?

This way the service doesn't have to run constantly (i.e. for offline users) but we'll be able to see our most up-to-date lists whenever we navigate to the list or refresh the page -- much more natural and common content-refreshing activities than finding and clicking a link.

Completing a task in Google, clearing completed in Google (NOT deleting), then syncing with Manymoon (both sides) does not maintain the task in Manymoon as a completed task as indicated at the end of the instructions.
