Like a lot of Manymoon's users, we're managing large projects with tasks spread out across a large team. We've found the best way to organize workflow and tasks is through "Milestones". Here's what we do:
1. On the Milestones Tab, create milestones that are specific to a topic, not necessarily a date (i.e. Meeting Minutes, Contractor Correspondence, etc).
2.Create a task specific to one or all of your team members, and attach a document to this task (we integrate all of our files from Google Docs - very nice feature that helps avoid double uploads). The task could be something line "Construction Meeting No. 2 - Review Minutes", and the attachment would be the document.
3. In the Milestone field inside the Task Box, select the milestone (you could call it a category) where you want to file this task. In this case, Meeting Minutes would fall under Milestone "Meeting Minutes".
4. Assign the task to as many people as you want, and leave the field "require only one person to complete the task" field unchecked - doing so will ensure that the task will reside in your milestone until you as the project manager or task creator decide it's time to close this out.
5. Click on the Milestones tab, and check out your milestone - should be right where you need it. Leaving the milestones open will allow you to keep the task, and the documents within them, open until the end of the project.

How do you close the Milestone? Does it expire on it's own? There's a drop-down to show Past Milestones, how is this relevant?

Hey Willy -- Milestones don't close or expire. The only difference is that once a milestone has passed its date, it will initially show up as collapsed on the milestone screen, whereas milestones that have not reached their expiration date show up expanded by default.

That's workable, but it still leaves much desired. For example if there are tasks that sitll aren't met bet but the milestone expires, what happens? You end up managing the date which becomes a bit of a hassle doesn't it? It would be nice to have functionality to "cross-off" a milestone as a task or have it worth a different value to your project. (Or at least another way to organize tasks into a container that can be crossed off.)
Hello - can my coworkers add to or modiffy the milestone? I can't find a way for that to happen. Each time they have to ask me (project manager) to do that.
